## What Trello does

Boards, lists and cards are the whole model, and that simplicity is why small firms keep ending up here. A practice using Trello typically runs one board per service line, a list per stage, and a card per client engagement that gets dragged from Received to Prepared to Reviewed to Filed. Butler automation handles the repetitive parts: move a card to Filed and it archives, hit a due date and it pings the assignee, start a new month and it clones the whole close checklist. Newer additions pull work in rather than waiting for it, with an Inbox that converts emails and Slack messages into cards and a Planner view that blocks card work onto a calendar.

The fit is narrow and worth stating precisely. Trello works for a two to six person bookkeeping practice whose work is genuinely a repeating checklist, where partners already live in email for client contact and in QuickBooks Online for the numbers, and where the only missing piece is visibility into what stage each client is at. At $5 per user per month on Standard, or free for up to 10 collaborators in a Workspace, it costs a fraction of anything built for accounting.

What it does not have is everything a practice management system exists to provide. There is no client record, so a firm keeps entity type, EIN, prior-year detail and contacts somewhere else. There is no time tracking, no WIP, no billing and no realization reporting. There is no client portal, no document request loop, no e-signature and no engagement letter. There are no tax software integrations at all, so nothing knows whether a return was accepted or rejected. Cards also have no concept of a filing deadline that shifts with an extension, and a board with 400 client cards on it becomes unreadable long before a firm of 20 hits its limits. Firms that stay on Trello past about ten staff usually end up rebuilding half a practice management system in spreadsheets alongside it.

Against Jetpack Workflow, which occupies almost exactly the same space at a higher price, Trello loses on recurring deadline logic and client records and wins on flexibility and cost. Against Financial Cents or Karbon, it is not really the same category: those carry the client, the email, the time and the invoice, and Trello carries a card. Monday and ClickUp are the closer general-purpose comparisons, and both offer more reporting at a higher per-seat cost with more configuration work.

The tier moved up from dated, on evidence rather than enthusiasm. Trello is not a stalled product: Atlassian shipped Inbox and Planner, published an MCP server for connecting AI tools, and maintains current pricing across four plans with SOC 2 and ISO 27001 coverage, two-factor authentication and SAML single sign-on through Atlassian Guard. What it is instead is a general project tool with no accounting content whatsoever. That earns a strong-option placement on price and workflow fit for the smallest firms, and it is the wrong recommendation for anyone who bills time or files returns at volume.
