Whether it collects money or only collects a signature. Ignition, Anchor, Cone and GoProposal capture card or ACH details at the moment of signature and bill on a schedule from there. Knuula and Aiwyn's engagement product are document-first and leave billing to your existing system. Buying the wrong half of this category is the most common mistake in it.

Proposals & Engagement Letters software for accounting firms
Software that turns a scope of work into a priced proposal, produces an engagement letter the client signs electronically, and in most cases captures the payment method and sets up the recurring billing that follows.
The landscape
Who buys proposals and engagement letters software, and when
The owner or managing partner buys this, almost always after a busy season in which scope creep, missing signed letters, or 60-day receivables cost the firm real money. Firms usually start looking somewhere around 50 to 100 recurring clients, when producing letters in Word and chasing checks stops being survivable.
At 9 products this is the 9th largest of 12 categories, 4.7% of the directory.

Buyer's guide
What actually separates proposals and engagement letters tools
What the payments actually cost you. Ignition layers a platform transaction fee (about 1 percent plus 30 cents) on top of card processing at roughly 2.9 percent plus 30 cents, with fee-free ACH only on the higher tiers. Anchor has no subscription and charges roughly 5 dollars per payment. On 400,000 dollars of annual collections those two models are thousands of dollars apart, so run your own numbers rather than comparing monthly subscription prices.
Who wrote the engagement letter language and whether your carrier will stand behind it. Ask the vendor whether templates were drafted or reviewed by an attorney or a professional liability insurer, and whether they are updated when standards change. CAMICO policyholders get free letter review and access to 150 or more sample letters, which is a useful benchmark: a template your own carrier has blessed beats a template a software company wrote.
Whether terms are conditional on the service selected. A 1040 engagement needs different limitation-of-liability, record-retention and e-file consent language than a monthly bookkeeping engagement or an advisory engagement. Knuula assembles terms from client data and the services chosen. Weaker tools staple one static block of terms to the back of every proposal, which is exactly the letter that fails when someone reads it closely.
Whether renewals and repricing work in bulk. The question to ask on a demo is whether you can apply a 6 percent increase to 200 clients, reissue letters, and have the new price flow into billing without touching each one. Firms that get this working recover the software cost in a single renewal cycle.
Fit by firm size. Aiwyn is aimed at large firms, with more than 60 of the top firms in the country on its billing and collections products, and its implementation assumes a project team. GoProposal starts around 75 dollars a month and Cone around 10 dollars per user per month, aimed at the 2 to 20 staff end. Buying above your size means an implementation you will not finish.

What the category does and does not tell you
Categories here follow how firms buy, not how vendors market themselves, and the boundaries are genuinely soft: practice management overlaps close automation, tax workflow overlaps document automation, and several products are sold into two of these at once. Where that happens the tool keeps one page and appears on both category pages. Treat the grouping as a way to navigate, not as a market segmentation.
Prices, certifications, and integrations are researched from vendor sources and dated on each profile. The ratings and the comparisons built on them are Node8's.
FAQ
Proposals & Engagement Letters questions, answered
Do I need proposal software if I already send engagement letters?
If your letters are current, signed by everyone before work starts, and stored where you can find them, the letter itself is not the problem and you should look at the billing side instead. Most firms find the real gap is between the signed letter and getting paid: the letter says 400 dollars a month and the invoice still goes out manually. Proposal software earns its keep when the price agreed in the letter becomes the billing schedule automatically.
Should the same tool handle payment collection?
For recurring bookkeeping, payroll and CAS work, yes, because taking payment details at signature is what eliminates the receivable entirely. For project or one-off tax work with clients who pay on delivery, the argument is weaker and the transaction fees may cost more than the collection problem does. If you already run billing through a practice management system you trust, a document-only tool such as Knuula plus your existing invoicing is a legitimate choice.
Are the engagement letter templates in these tools actually defensible?
It varies a great deal, and the vendors do not always volunteer the answer. Ask who drafted the templates, whether an attorney or a liability carrier reviewed them, how often they are updated, and whether the terms change based on the service. Then run one of each letter type past your own malpractice carrier before you send a few hundred of them, since carriers such as CAMICO review policyholder letters at no charge and it is the cheapest risk work you will do all year.
What is the difference between Ignition and a document tool like Knuula?
Ignition is a proposal-to-payment system: the proposal, the letter, the signature, the payment method and the recurring invoice are one chain, and it charges accordingly. Knuula is an engagement letter engine, built to generate large volumes of correctly worded, service-specific letters from client data, and it leaves billing to whatever you already use. A firm sending 30 letters a year with a collections problem wants the first. A firm sending 800 letters a year with a documentation problem wants the second.
