The client usually owns the subscription and the firm decides which product it is, so the real decision the owner makes is which one or two ledgers the practice will standardize on and support. Firms revisit it when the book passes roughly 50 clients and the cost of keeping staff fluent in four different products stops being covered by the revenue from the clients who insisted on them.

What actually separates general ledger and bookkeeping tools

Settle who owns the subscription and who gets billed, because Intuit makes you choose one of three arrangements per client and they are not equivalent. Firm-billed ProAdvisor pricing is 30 percent off for as long as your firm holds the billing relationship, which puts QuickBooks Online Plus at $98 a month instead of $140. Client-billed direct discount is also 30 percent but expires after 12 months and the client then sees full list price. Revenue share bills the client, gives them 50 percent off for three months, and pays the firm 30 percent for a year. Only the firm-billed version lets you set the retail price and keep the spread.

Test the accountant console against a book your size, not against a demo file with four clients. What matters at 200 clients is how fast you can switch between company files, reclassify a year of transactions, find the client whose bank feed broke, and manage wholesale billing. RightTool exists because that console is slow: PRO is $75 a month for the first user and $25 for each additional user, or $500 a month flat for up to 30 users, and it covers unlimited company files.

Compare QuickBooks Online and Xero on total client cost, not headline price. QuickBooks Online lists at $38 to $340 a month with user counts capped by tier. Xero lists at $25, $55 and $90 with no per-user fees at all, which is a real saving on a client with five people in the file. Xero's partner program is free, includes Syft Analytics at every level, and includes Partner Hub Practice Management free from Silver status up. QuickBooks wins on US app and bank coverage and on the fact that most bookkeepers you hire already know it.

Ask whether a newer product is a ledger or a reporting layer, and who it is really sold to. Digits publishes firm pricing at $50 to $185 per client per month. Puzzle runs $25 to $100 a month and markets its Core plan as a QuickBooks replacement. SoftLedger starts at $13,500 a year for three users with unlimited entities. Rillet and Campfire are mid-market ERP replacements aimed at venture-backed finance teams rather than at firms. Before you move a client, find out what an export looks like, what an auditor gets, and what happens to prior-period comparatives.

Plan the Desktop exit rather than waiting for it. Enterprise is the only QuickBooks Desktop product with a live storefront and it is quote-only. Pro and Premier no longer have a purchase path on Intuit's site and appear only as migration sources. Any client still on Desktop is a conversion project you will run on someone's schedule, and it is cheaper to run it in July than in January.

Consider fixing the specific complaint instead of changing ledgers. Most of what firms hate about QuickBooks Online is uncategorized transactions and clients who will not answer. Categories here follow how firms buy, not how vendors market themselves, and the boundaries are genuinely soft: practice management overlaps close automation, tax workflow overlaps document automation, and several products are sold into two of these at once. Where that happens the tool keeps one page and appears on both category pages. Treat the grouping as a way to navigate, not as a market segmentation.

Should the firm or the client own the QuickBooks subscription?

Firm-billed is better for the firm and usually better for the client too. Intuit's ProAdvisor discount is 30 percent off on an ongoing basis when your firm is billed, against 30 percent for only 12 months when the client is billed directly. Firm-billed means you set the price the client pays, you keep the spread, and you can move or cancel the file without chasing the client for a login. The tradeoffs are that you carry the receivable, you have to reconcile a monthly Intuit invoice covering every client, and unwinding the arrangement when a client leaves takes a transfer of billing rather than a cancellation.

Is QuickBooks Desktop being discontinued?

In practice, mostly yes for small business editions. Desktop Enterprise is still sold, in Gold, Platinum and Diamond tiers on a quote-only basis. Pro and Premier no longer have a purchase path on Intuit's site, and Intuit's own marketing now treats them as products to migrate away from, pointing users at QuickBooks Online Advanced and Intuit Enterprise Suite. Existing installations keep working, but each year's version loses payroll, payments and support services on the usual discontinuation cycle, so treat any Desktop client as a conversion you schedule rather than a steady state.

Is Xero cheaper than QuickBooks Online?

For clients with several users, generally yes. Xero's US plans are $25, $55 and $90 a month and do not charge per user, while QuickBooks Online caps users by tier and pushes you up a plan to add them, from $38 for one user on Simple Start to $140 for five on Plus. The firm-side economics differ too: the Xero partner program is free and includes practice management free at Silver status and above, while Intuit's equivalent discount is 30 percent off the client subscription. What Xero does not have in the US is QuickBooks' depth of bank feeds, apps and available staff who already know the product.

What is happening to QuickBooks Online Accountant?

It is being replaced by Intuit Accountant Suite. Intuit has told firms to move ahead of the QuickBooks Online Accountant retirement on December 31, 2026. The new Core tier is free and covers client files, an inbox and role-based access. The Accelerate tier is $149 a month starting January 20, 2027, and adds cross-client comparisons, anomaly detection and portfolio-level dashboards. A separate Books Close add-on begins billing January 21, 2027 at $8 per onboarded client per month up to 50 clients and $6 above that.
