The owner or whoever runs the bookkeeping team buys it, and the trigger is consistency rather than speed. Firms start looking somewhere past 30 to 50 monthly clients, when the close checklist lives in a spreadsheet only one senior actually follows and review happens from memory, or after a client catches an error the firm should have caught.

What actually separates month-end close automation tools
Match the tool to your actual ledger mix rather than to the logo wall. Numeric's journal entry automation is built around NetSuite, with QuickBooks and Xero on its lower tiers. Accruer is QuickBooks Online only. XBert covers Xero, QuickBooks Online, MYOB and FreeAgent. Aider reads Xero and QuickBooks and pushes work into Karbon. If half your book sits on Sage Intacct or QuickBooks Desktop, most of this category does not apply to you yet.
Look at the review trail specifically. You want a named preparer, reviewer and approver on each client's close, the supporting document attached to the entry that used it, and a record of who signed off and when. Intuit's Books Close assigns preparer, reviewer and approver per client and tracks close status on a dashboard. A tool that only ticks boxes will not hold up the first time a client disputes an entry.
Work out the pricing unit at your client count, because per-client and per-user pricing behave very differently on a book of 80. Canopy's Close Automation add-on is $10 per connected client per month with the first five included. Intuit's Books Close is $8 per onboarded client per month up to 50 clients and $6 above that. Financial Cents sells month-end close at $5 per client per month. Numeric Essentials starts at $30 per user per month. Accruer is $29, $99 or $199 a month per connected QuickBooks file depending on accrual volume.
Check what happens to the exceptions the client has to answer, because that is the step that actually delays the close. Some tools stop at a list of unexplained transactions. Uncat at $9 per client per month exists precisely because chasing clients for that information and syncing the answers back is a separate job. If the tool does not close that loop, budget for something that does.
Ask whether it duplicates the practice management system you already run. Karbon, Financial Cents and Canopy all ship recurring close checklists, and a firm that buys close automation on top ends up with two systems that each claim to know what month a client is in. Decide which one is the system of record before you sign.

On a book of 80 monthly clients that is roughly $4,800 to $9,600 a year. Per-user tools such as Numeric, which starts at $30 per user per month, get relatively cheaper as your client count rises and more expensive as headcount does.
Do I need this if I already use Karbon or Financial Cents?
Not for the checklist. Practice management already gives you recurring monthly jobs, assignees and due dates, and for many firms that is the whole problem. What it does not do is look inside the ledger, so if your real failure mode is a balance parked in Ask My Accountant or a prepaid nobody amortized, a tool that reads the general ledger adds something. If your failure mode is that jobs go unassigned, buy neither and fix the workflow.
Is Intuit going to make these tools unnecessary?
Partly, for firms whose whole book is on QuickBooks. QuickBooks Online Accountant is being replaced by Intuit Accountant Suite, with a free Core tier and an Accelerate tier at $149 a month from January 20, 2027. Its Books Close feature adds firm close templates, preparer, reviewer and approver roles, and anomaly detection on the balance sheet and profit and loss, billed at $8 per client per month up to 50 clients. Price that against a third-party tool before signing a multi-year contract with one.
