What Taxaroo does
Taxaroo bundles the whole client-facing side of a small tax practice into one subscription: organizer, document portal, chat and SMS, video calls, appointment scheduling, automated follow-ups, workflows, invoicing, card payments, white-label branding and electronic signatures. The founder, Mario Costanz, built and acquired 99 retail tax offices before this, and the product reads like it was designed by someone who ran that kind of shop. A mapped portal drive lets a preparer open client files from Windows Explorer instead of a browser, which is a small thing that saves a lot of clicks in February.
The signature story is the most detailed in this batch, and it is the axis most firms get wrong. Taxaroo states Publication 1345 compliance and splits authentication in two. Basic KBA uses predetermined questions, is free, and is intended for existing clients the firm has already identified. Enhanced KBA runs credit-bureau out-of-wallet questions for new clients, and is priced openly at $1.90 per approver or signer billed monthly, dropping to $1.80, $1.70, $1.60 and $1.50 in prepaid packs of 50, 250, 500 and 1,000 credits. Subscriptions are equally plain: $790 a year including two users, $99 a month for a single user on Starter, $1,400 for two years, and $50 per month or $500 per year for each additional seat, with a seven-day trial and no card. A two-person firm filing 400 returns lands near $1,000 a year plus KBA pulls, which is materially below almost everything else here.
The trade-offs are clear. Only one tax program connects directly, Drake, and even that is an export of portal data rather than extraction of numbers from client documents into the return. Everything else is import into Taxaroo, so a Lacerte or UltraTax firm gets a portal and not a pipeline. Nothing extracted from a W-2 or 1099 reaches a return automatically, so there is no verification queue and no data entry saved. The AI line-up sits oddly against the core product, with an avatar video agent at $299 and $699 a month that reads more like an experiment than a busy-season tool. And the blog has not been updated since May 2025, which is the sort of quiet a firm should notice. Security is described as AES-256 on Amazon S3, TLS in transit, MFA by authenticator app, Stripe for cards and regular penetration testing, but no SOC 2 report is claimed anywhere.
Liscio is the closer comparison than any of the extraction tools, and Liscio is the better client-communication product at a higher price. Against Truss or StanfordTax this is a different purchase entirely: those automate documents, this runs the practice around them.
The tier moves up from one-to-watch to strong-option. The published customers are sole practitioners and two-person firms rather than 30-person practices, but that is the fit, not a failing: transparent pricing, working Publication 1345 signing with both KBA paths priced per pull, and 22 years of the founder's own industry background are enough evidence to call this a credible pick at its price point rather than an unproven one.
