What QuickBooks Online does

Standardizing a client book on one ledger is mostly a staffing decision, and QuickBooks Online wins it because every bookkeeper a firm hires already knows it and every downstream tool already connects to it. The client plans run Simple Start at $38 a month for one user, Essentials at $85 for three, Plus at $140 for five, and Advanced at $340 for 25, all currently discounted 50 percent for three months. Accountant access is free and does not count against the client's seats: two on the lower plans, three on Advanced. Class and location tracking arrives on Plus and is capped at 40 until Advanced lifts it. Project profitability, budgeting and inventory are also Plus features. Payroll, bill pay and payments are first-party modules rather than integrations, which is convenient and also how Intuit grows the invoice.

The firm side is in the middle of a rebuild that any firm should plan around now. Intuit states that QuickBooks Online Accountant "will be officially discontinued on December 31, 2026" and is replaced by Intuit Accountant Suite, with no data migration required. The Core tier stays free with no monthly fee. Accelerate is free through January 19, 2027, then $149 a month from January 20, 2027, with a 50 percent discount applied automatically for the first twelve months. A Books Close add-on starts billing January 21, 2027 at $8 per onboarded client per month up to 50 clients, or $6 above 50. The console itself gives a client list with multiple files open in tabs, a shared inbox with an audit log, AI summaries flagging anomalies across the book, a resolution centre for support, and ProConnect Tax linked in. The ProAdvisor program is being folded in as Intuit ProPartner Accountants, with the existing Silver, Gold, Platinum and Elite point tiers, ProConnect discounts of 30, 35 and 40 percent by tier, and QuickBooks Online Advanced free for the firm's own books.

The objections are legitimate and a firm should weigh them. Intuit raises prices regularly and the list rates above are materially higher than they were a few years ago, so a book of 80 clients feels every increase. Intuit sells bookkeeping services to the same small businesses a firm serves, which is a competitor sitting inside the client relationship. Wholesale billing terms and discount percentages are no longer published on the accountant pricing pages checked for this profile, so a firm has to ask a rep what its own arrangement is rather than reading it off a page. AI usage is now metered, with Intuit Intelligence prompt caps of 25 on Simple Start, 50 on Essentials, 100 on Plus and 200 on Advanced, and $10 a month buying 100 more. Support quality is the perennial complaint.

Xero is the real alternative and is the better product for bank reconciliation, multi-currency and unlimited users at a flat price, but has a thinner US payroll and tax integration story and a smaller pool of US-trained staff. Zoho Books is cheaper and capable, and loses on ecosystem. Wave suits the very smallest clients only.

Top-pick stands, and not because the product is the most elegant. It is the ledger with the deepest US install base, the widest app and tax integration, a free multi-client firm console, and a vendor investing heavily. The retirement of QuickBooks Online Accountant is a scheduled migration to plan, not a reason to move off the platform.
