What Automated Tax Office Manager does

Mark Pricco wrote the first version of ATOM in 2003 because the Lansing, Michigan tax office he runs had outgrown his ability to schedule it. That origin explains the shape of the product better than any feature list. ATOM is a front-office system for a storefront tax practice: appointments, phone calls, texts, staff shifts, walk-in flow, who is preparing what and whether the client has paid. It is priced accordingly, at $199 a month per office on Starter and $279 on Pro, with unlimited staff on either, which for a shop that hires fifteen seasonal preparers in January is unusually good arithmetic.

The scheduling logic is the part with no obvious equivalent elsewhere. Appointments can be routed so that return complexity is matched to preparer competency, so a Schedule C with rental property does not land on a first-season preparer's calendar. Around that sit a client portal for document exchange and payment, e-signature through DocuSeal, punch clock and work schedules for hourly staff, checklists for tax prep, bookkeeping and IRS resolution jobs, and a CRM holding referral sources. Several of the communication pieces are add-ons billed yearly: email at $100, texting at $150, faxing at $50, VoIP at $300, document recovery at $100. Premium onboarding is a one-off $500. Read the quote carefully, because the headline price is not the whole price.

The weaknesses are structural. ATOM publishes no integrations at all, and specifically none with Drake, UltraTax, Lacerte, ProSeries or TaxAct, so the practice management system and the tax software never speak. Client records get keyed twice and return status is tracked by hand. Nothing on the site addresses security: there is no SOC 2 report, no encryption statement, no documented multi-factor authentication, which matters for a system holding taxpayer identity data. The client-facing login still runs on a legacy ASP.NET path, and the product's visual vocabulary has not moved far from its origins.

TaxDome is the obvious alternative and the fairer comparison than any workflow-only tool, because it also covers the portal, e-signature, payments and pipeline, adds tax software integrations and KBA signing, and has a far larger US install base. Canopy covers similar ground with stronger IRS transcript and resolution tooling. What neither offers is a flat per-office price with unlimited seats, and that is ATOM's entire argument.

Dated is right and the tier stands. But a firm choosing new software today would be buying a system with no tax software integration, no published security posture and a per-feature add-on model, and the market has moved past all three.
