What Karbon does
The organising idea here is email. Karbon connects to Gmail or Microsoft Exchange, pulls firm mailboxes into a shared triage queue, and lets anyone turn a thread into a work item assigned to a person and attached to a client. That sounds small until a manager tries to answer the question every firm owner asks in March, which is what is actually happening on the Henderson account. In Karbon the email, the notes, the job status, the budget and the invoice sit on the same record. Around that sit the parts a firm expects: work templates with defined statuses, a client portal with magic-link sign-in and mobile apps, document management, engagements from proposal through payment, time and budgets, and billing.
Fit is clearest for firms in the 5 to 50 staff range that run on client correspondence and want a single system of record. The company says more than 40,000 accounting professionals use it daily across 34 countries and that customers completed 5.5 million jobs in 2024, and the team is spread across the US, Australia, New Zealand, Canada and the UK, so support hours cover a US busy season properly. It fits less well below about three seats, where the Team plan cannot be billed monthly at all and the annual commitment at $59 a seat is real money for a solo preparer. It also fits poorly at a firm that files high volumes of straightforward 1040s and wants the return itself to drive the workflow, because Karbon tracks the job around the return rather than the return.
The trade-offs are worth being precise about. Plan limits are hard numbers, not soft ones: Team caps work templates and statuses at roughly 35 to 40 and contact types at 10, and the task automators that make workflow actually automatic are withheld from Team entirely, so a firm that buys the cheaper plan to standardise its processes will hit the ceiling and pay $30 more per seat to get past it. E-signature is not included at any tier. It is sold as credit bundles that expire twelve months after purchase, so a firm signing several hundred 8879s a season is budgeting a second line item that TaxDome and Basil fold into the subscription. Kai, the AI coworker Karbon markets heavily, was in limited early access with a waitlist when this page was written, so it should not factor into a purchase decision yet. And the security page is candid that the ISO 27001 management system has not been independently certified, though the annual SOC 2 Type II report has.
Against Financial Cents, Karbon costs roughly two to three times as much per seat and returns a deeper email model, a much longer integration list including seven tax and tax-adjacent tools, and reporting a partner group can run a firm from. Against TaxDome, Karbon gives up the bundled unlimited e-signature and the tax-return-shaped pipeline, and gains a far better answer for advisory, CAS and audit work that does not fit a return calendar.
