What Xero does
Unlimited users is the design decision everything else follows from. Xero charges by company file, not by seat, so a client's bookkeeper, office manager, owner and outside firm all sit in the same file at no extra cost. US pricing runs Early at $25 a month for a capped 20 invoices and 5 bills, Growing at $55 with those caps removed and automated bill entry, and Established at $90 adding multi-currency, project tracking, expense and mileage claims and 180-day cash flow forecasting. Payroll is a $36 plus $6 per employee add-on. The company was founded in 2006, is listed on the ASX, and reports five million customers across more than 180 countries, with market leadership in New Zealand, Australia and the UK.
The firm-side apparatus is the strongest reason to look at Xero in the US, and it is worth being concrete about it. The partner program is free with no ongoing cost. Qualifying means being an accounting practice with at least one registered accountant and committing one staff member to complete advisor certification within thirty days. In return the practice gets Xero free to run its own books, Xero Partner Hub as a console over the whole client portfolio with staff management and client queries in one place, a listing in the advisor directory, a named Xero contact, 24/7 support and Syft Analytics. Status runs Partner, Bronze, Silver, Gold and Platinum on accumulated points. Subscription discounts on client plans begin at Bronze and increase with status, and the practice can pass them through or hold the subscription itself. Silver and above unlock Partner Hub with Practice Management, which brings job tracking, time and billing. Xero Workpapers handles the review file, and Ledger and Cashbook plans exist for compliance-only clients who do not need the full product.
The honest weakness is the US market itself. Xero dominates in its home markets and does not in America, where QuickBooks Online has the bank feed coverage, the app ecosystem, the temp and contract staff who already know it, and the client who arrives already using it. Practically that means more time on bank feed exceptions with regional US banks, a smaller pool of specialist apps for a given vertical, and staff training that QuickBooks does not require. The Early plan's caps of 20 invoices and 5 bills are low enough that most real businesses land on Growing at $55, so the advertised entry price rarely holds. Xero also publishes an aggressive promotional discount, currently 90% off for six months for new US customers, which is a renewal cliff a firm should mention to the client rather than let arrive unannounced.
Security is well documented: ISO 27001:2022 certified by EY CertifyPoint, SOC 2 reports from independent audits of the platform, PCI DSS v4.0 compliance as a level 2 merchant, multi-factor authentication and encryption in transit and at rest.
Strong-option is the right tier and it stays. Against QuickBooks Online the choice comes down to two things: unlimited users per file, which meaningfully changes the cost of a client with several people touching the books, and whether the firm is willing to carry the friction of running the second-place platform in a market that assumes the first. Firms that commit to Xero across the book tend to be happier than firms that run both, because the partner discount, the certification and the Partner Hub habits only pay off at volume.
