What Aero Workflow does
Flat-fee pricing is the first thing a firm notices about Aero Workflow. The Growth plan covers 6 to 25 users for $200 a month billed yearly, and Scaling covers 26 to 50 for $295. Nobody counts seats, so adding a seasonal preparer or a new offshore bookkeeper costs nothing. For a 20-person bookkeeping practice, that is a fraction of what per-seat practice management costs, and the arithmetic gets better the more people a firm hires.
What the money buys is a task and checklist engine rather than a full practice management suite. Recurring work is defined once and generated on a schedule, each job carries a checklist drawn from a library of over 150 accounting and bookkeeping procedures, and staff work a queue. The client vault holds portal logins and credentials with 256-bit encryption on sensitive fields, which is the feature long-time users talk about most. Emails forwarded into Aero become tasks with time attached. Time posts through to QuickBooks Online invoices. Twenty-odd reports cover who is behind, what is unbilled and where capacity sits. The company traces back to 2008, when co-founder Laura Redmond built the first version inside Method:CRM for her own firm, and the product still reads as something written by bookkeepers for bookkeepers.
The limits are where it shows its age. There is no client portal, so document requests, e-signature and client messaging all have to happen somewhere else. There is no native mobile app, only a responsive web layout. It syncs with QuickBooks Online but not QuickBooks Desktop, and it cannot connect to QuickBooks Online Accountant's own practice management because Intuit does not expose an API for it. No tax software integration exists. Aero also holds no security certification of its own, pointing instead at Microsoft Azure's SOC 2 and SOC 3 compliance, with US servers in Virginia and daily backups on a seven-day rolling window. Two-factor authentication is available. A firm with a client security questionnaire to answer will find the vendor-level evidence thin.
Jetpack Workflow is the direct comparison and sits in the same lane of doing recurring work well and everything else not at all, though it charges per user. Financial Cents costs more per head but brings the portal, document requests and e-signature Aero lacks. Karbon is a different budget entirely and adds email triage and client collaboration.
Dated is the accurate label and it stands. Nothing here is broken, support is unlimited and included, and firms that adopted Aero years ago keep running on it happily. But a practice buying in 2026 would be choosing a workflow tool with no portal and no signature capability, then paying separately for both, and the integration list has not meaningfully grown. The flat-rate price is a genuine reason to look; it is not a reason to overlook what is missing.
