What 1040SCAN does

Scan-and-populate was SurePrep's original business, and 1040SCAN is the product that defined the category. A firm scans or uploads a client's source documents, the OCR engine reads W-2s, 1099s, brokerage statements and K-1s, and the extracted values export into the tax program as input rather than being keyed by a preparer. The same pass sorts and bookmarks every document into a standardised workpaper index tree, so the binder assembles itself as a side effect of the data extraction. Thomson Reuters says patented text-layer matching plus AI removes the verification step entirely for 65% of standard documents, and that the engine recognises four to seven times as many document types as competing tools.

The fit is narrow and it is defined by the tax engine. Export goes to UltraTax CS, GoSystem Tax RS, CCH Axcess Tax and Lacerte. A firm on Drake Tax, ProSeries or ProConnect gets organised, bookmarked workpapers and nothing that lands in the return, which removes most of the reason to buy it. Document intake pairs with TaxCaddy and the workpapers land in SPbinder, so the product assumes a firm buying into the wider SurePrep stack rather than one tool in isolation.

The honest weakness is the 35%. Documents the engine does not auto-verify still need a human to check the extracted values against the image, and the published material does not say who that is or how long it takes at volume. SurePrep sells a separate Outsource preparation service, but nothing on these pages establishes that verification is bundled or offshored, so a firm should assume its own staff carry that queue until a salesperson says otherwise. No price appears anywhere; every path is a 30 minute call or a phone number. Nothing covers e-signature, so Form 8879 with knowledge-based authentication has to come from TaxCaddy or a separate vendor. And coverage is the 1040 only, which leaves K-1 distribution and entity returns entirely outside the product.

Against GruntWorx, the other long-running scan-and-populate tool, 1040SCAN reads more document types and reaches more tax programs, while GruntWorx is cheaper per return and works with Drake. Against Black Ore and Filed, which attack the same job with a model that drafts the return rather than populating fields, 1040SCAN is proven across many more busy seasons but is answering a smaller question.

Dated is the right label and the evidence is the corporate history rather than the software. SurePrep is now inside Thomson Reuters, the sureprep.com site was retired in spring 2025 and support and portals moved into Thomson Reuters environments, and the product page still leads with practitioner testimonials and a scan-and-populate framing that has not changed in years while Thomson Reuters markets newer AI return-preparation products alongside it. A firm running it should keep running it. A firm choosing today, particularly one with fewer than 50 staff and no salesperson relationship, will find it hard to price, hard to scope, and aimed at a workflow that newer entrants are trying to make unnecessary.
